Why reserve a room at an official conference hotel?

By booking your rooms through Preferred Convention Services, you are supporting the event and gaining access to many benefits, including:

  • Special Rates – Special rates have been negotiated at a number of hotels to accommodate the variety of needs for all delegates. Discounted hotel rates are protected by a lowest available rate guarantee.
  • Protection – Protection of your reservation if hotels oversell their rooms.
  • Support – Experienced reservation agents available for all of your housing needs from the time you make your reservation until the completion of the conference.
  • 24-hour Assistance – 24-hour on-site assistance provided during the conference.
  • Shuttle Service – If provided by the conference, individuals confirmed through Preferred Convention Services are eligible to use conference shuttle service from hotels not within walking distance of the convention center.
  • Hospitality Functions – Assistance in setting up hospitality functions at conference hotels at contracted discounted suite rates.
 

 

Protection from Housing Fraud

Have you received a call or email from someone offering room rates below the group rate at one of the conference hotels? We refer to these companies as Housing Bandits, Poachers or Pirates. These companies contact delegates, sometimes claiming to be associated with the conference, with an end goal of taking your money. Reservations are to be made only through the official housing company, Preferred Convention Services (PCS).

What can happen if you book through?

  • These companies are known to charge credit cards for your entire stay before you actually travel.
  • You may incur cancellation charges up to 100% of your stay even if you cancel months or weeks prior to the conference.
  • A fee is typically charged for any changes made prior to your arrival.
  • It is not uncommon for guests to arrive at their hotel only to find that their reservations were never made.

PCS can assist you with any housing issue but only if you reserve your room under the official conference room block. Any person or organization (besides PCS) that contacts you directly about hotel reservations is not affiliated with the event. If you have any doubt about who is the official housing company, please go to the Event/Convention website and select the Housing/Travel option.
